An outreach email is a short, one-to-one email to a decision-maker who does not know you yet. Its job is to start a conversation that ends in a booked call.

For agencies, consultancies and dev shops, an outreach email works when it meets four conditions:

    • It asks for 15 minutes and nothing bigger.
    • It carries one line of real proof.
    • It lands after a LinkedIn touch whenever you can manage it.
    • It follows the email law of the reader's country.

In the first message, sell the CALL, not your service. Pitching in message one is the fastest way to get ignored.

What proof line should each firm type use?

A proof line is one sentence that shows you have solved this problem for a company like the reader's. I put real clients and results inside the message instead of holding them back for the call.

Your firm typeProof line shapeThe same shape in my team's own outreach
Marketing or creative agency[Outcome] for a [type] agency in [timeframe]714 sales calls in 12 months for a UK social media marketing agency
Consultancy or coaching firm[Calls booked] for a [type] firm in [timeframe]204 sales calls in 4 months for a US consulting and coaching firm
Dev shop[Calls booked] for a [type] company in [timeframe]488 sales calls in 6 months for a German software development company
No case study yetWe [specific scope] for a [size] [industry] company in [timeframe]Fill from your own closest project: scope, company size, industry, timeframe and the buyer's title

Without a case study, pick the past project closest to the reader by scope, company type and timeframe. Then name the title of the person you worked with. Before I write a line, I find out who actually made the decision on a client's past projects. For more on making numbers believable, see how to place proof in cold email.

What are the eight outreach email templates?

Each template stays under 90 words and has one small ask. Short, plain emails beat polished, robotic ones. Fill every bracket, because a single bracket left in the email ruins it. If you sell by sales stage rather than firm type, see B2B sales email templates. Trimming a draft is covered in cutting cold email copy. If you want complete rewrites, see these full line by line examples.

    1. After a LinkedIn accept

Subject: [Their company] and [problem you solve]

Hi [first name], thanks for connecting on LinkedIn.

We help [type of company] [specific outcome]. Latest example: [proof line from the table].

I saw [one fact about them: a hiring post, a new market, a launch]. If [problem] is on your list this quarter, would 15 minutes on [day] be useful?

    [Name], [title], [company]

    2. Cold, with a case study

Use your proof line from the table here: one outcome and one timeframe in a single sentence.

Hi [first name], [proof line]. [Their company] shares [one trait] with that client. Worth 15 minutes to see if the same approach fits?

    3. Cold, no case study

Hi [first name], we [specific scope] for a [size] [industry] company in [timeframe]. I am writing because [their trigger]. Open to a short call on [day]?

    4. Lookalike of a current client

Start from the clients the firm already has. The best targets are companies that look like them.

Hi [first name], we work with [type of current client] on [problem]. You run a similar [model], so [problem] probably shows up for you too. Worth comparing notes for 15 minutes?

    5. They asked for more info

Answer with a call, not a brochure.

Hi [first name], happy to. Short version: [one-sentence offer]. [Proof line]. The right setup depends on [two variables], which takes about 15 minutes to cover. Does [day] or [day] work?

    6. No reply, new angle

In my team's campaigns, the third follow-up, sent with real time after the last one, is usually the one that gets the reply. Give it a new reason to answer.

Hi [first name], one thing I left out: [new pain or a second proof point]. If that is closer to your world, reply "yes" and I will send two time slots.

    7. Wrong person

Hi [first name], I may have the wrong person. Who decides on [service] at [company]? Is it your [expected title]? A name is all I need.

    8. Reopening a "not now"

Hi [first name], in [month] you said [their words]. Since then, [what changed]. Is now a better time for 15 minutes?

This one only works if the first "not now" went into your CRM.

Which template should you use for this situation?

    SituationTemplateProof lineAsk
Accepted on LinkedIn, no chat yet1Closest result15-minute call

Silent after earlier touches6New angle or second proofReply "yes"

Keep the ask to one line. A free call for you is not free for them, so you still have to sell it. Size the ask for a stranger.

Is cold email outreach dead or still worth it?

Cold email still works. The numbers are just lower than most template posts claim.

In my team's campaigns, the usual reply rate is about 1%. That often drops to 0.5% once a campaign sends thousands of emails a day. Of those replies, 10% to 50% turn into booked meetings.

A highly tailored campaign can get 15% to 17% replies, and about 75% of those replies are interested. Treat these as ranges, never as a promise.

Plan with them per month: 1,000 contacts -> about 10 replies -> 1 to 5 meetings. Need more meetings? Contact more people. Volume negates luck, but expect the averages to fall as it grows.

You will see bigger figures quoted. Backlinko's study of 12 million outreach emails (published 2019) found that 8.5% got a response. Link-building, guest-post and roundup pitches drew some of its highest response rates, so it is a weak yardstick for a sales email to a buyer.

A newer number sits closer to cold sales email. Instantly's 2026 cold email benchmark reports an overall average reply rate of 3.43%, with top performers above 10%. That is a vendor's figure, and well above the 1% my team plans with. Treat it as a reference point and plan with your own numbers.

Wording will not save a poor list or a weak sender. Even 5,000 "personalized" emails a week get ignored when the foundations are broken. Get the list and the sender right before you touch the subject line.

How do you make outreach email work with LinkedIn first?

My team never lets the email be the first touch: a LinkedIn outreach touch comes first, and the email follows it. By the time Template 1 arrives, the reader has had a chance to see your face and your profile.

    The order:

    1. Send a connection request with no pitch.
    2. After the accept, send one short LinkedIn message.
    3. Leave real time, then send Template 1 by email.
    4. Alternate channels for the next touches, each with a new reason.

Aim for 5 to 6 touches across both channels, since one or two messages usually will not start a thread. Backlinko's study points the same way: one extra follow-up lifted replies by 65.8%. For the full count, see how many follow-ups to send.

    WhereRuleWhat your email needs
USCAN-SPAM, per the FTC compliance guideCovers all commercial email, with no B2B exception. Requires truthful headers and subject line, a valid physical postal address and a clear opt-out. Opt-outs must be honored within 10 business days
UK, companiesPECR, per ICO B2B guidanceThe email consent rule does not apply to corporate subscribers (limited companies, LLPs and public bodies). Never hide who you are, and include a clear way to opt out
UK, sole traders and some partnershipsPECR regulation 22Treated as individuals. You need consent, or a soft opt-in for an existing customer buying similar products, plus a free way to refuse in every message
EUGDPRA lawful basis under Article 6, such as legitimate interests. National email laws can be stricter than GDPR; see the Germany question below. Article 21 lets people object to direct marketing at any time, and your first message must tell them so

CAN-SPAM penalties reach up to $53,088 for each separate email.

The ICO says there is no email equivalent of a preference service. That makes your own do-not-email list your only suppression list, so check it before every send.

UK GDPR still applies when a work address identifies a person, as a firstname.lastname address does.

If you rely on legitimate interests, document the reasoning before you send. Here is how to run a legitimate interest assessment. This is not legal advice.

What sender setup and signature details matter most?

Buyers check the sender before they reply, so send from whoever has the stronger profile. A plain message from a profile with real proof behind it will beat a flawless one sent by a ghost. If the founder has the proof and the network, send as the founder. If reps send, their LinkedIn profiles need the same work.

    • Authentication. Set up SPF, DKIM, and DMARC on each sending domain before you scale volume. Google requires SPF or DKIM from every sender to Gmail accounts and a spam rate below 0.3%. Above 5,000 messages a day, it requires all three records plus one-click unsubscribe.

    • Warm-up. Warm up new mailboxes for at least 10 to 14 days before they email a prospect. New Google Workspace accounts also start with lower sending limits, per Google's admin help.

    • Bounces. Check each address, and keep bounce rate below 0.5%.

    • Signature. Include your name, title, company, postal address and a LinkedIn link, so the reader can check you in one click.

    • Testing. Change one thing per test, either the subject line or the proof line.

Pick the template by situation, add one proof line, and ask for 15 minutes. Sort out the list and the sender, then scale.

Have a draft you are not sure about? Book a call and paste the email into our chat. I will tell you what I would cut and which proof line to use.

Questions founders ask about outreach email

Can I send outreach email to prospects in Germany?

Only with a compliant basis. Germany is not a market I specialize in. Most of what my team sends goes to the US, the UK and the rest of Europe, mostly in English. When a client needs German prospects, I switch to LinkedIn and apply tighter rules of my own. I treat Austria and the Czech Republic the same way.

How many people at one company should I email?

Usually more than one. In Backlinko's 2019 study, emailing more than one contact lifted response rates by 93%. Write each message for that person's role and problem, so the two emails do not read like copies. If several reps send, split the territory so two of them never write to the same person.

How long should the subject line be?

In Backlinko's study, subject lines of 36 to 50 characters drew the best response. Given that sample, treat the range as a starting point. Test two lengths on the same list, change nothing else in the email, and keep the one that wins on replies.

Do I need to personalize every first email?

Yes, at least the opening line. Highly tailored campaigns are the ones that can reach the 15% to 17% reply range above. One specific reason for writing, such as a hiring post or a new market, is enough. Irrelevant email costs you more than one reply: Gartner's 2025 survey of 632 B2B buyers found 73% actively avoid suppliers who send irrelevant outreach.
